Tracking Meeting/Event Attendees

 is the 51做厙's hub for student activities and engagement on campus. This online platform offers a variety of features to help your organization operate in person and virtually. 

Clubs and Organizations are encouraged to enhance their RoyalSync portal so that it can provide and online venue for students seeking ways to engage on campus. RoyalSync portals can be enhanced by:

  • Registering all your events, meetings, and programs into your RoyalSync portal.
  • Adding photos, club videos, and linking YouTube accounts to your RoyalSync Portal
Please note, your RoyalSync portal is a primary tool for engagement with new and current students – make your portal stand out! 

Tracking Attendance at In-Person Meetings 

 allows clubs and organizations the ability to track attendance at meetings and events using the Royal Card. The Center for Student Engagement loans out card swipe readers for organizations to use to track attendance. This year, we encourage clubs and organizations to track attendance at every meeting and event!

Live attendance data is collected and uploaded to your CampusGroups account, allowing you to maintain attendance records, control event access, measure interest and ROI, boost users engagement and monitor campus activity. View, monitor, analyze and access reports on your data in real-time, at any time. Transform your computer, iPhone, iPad, or Android device into a portable attendance tracking tool.

  • Log in on CampusGroups.

  • Click on Events

The Manage Event page allows you to directly check in attendees. 

  • Click on Track Attendance

  • Enable/disable RSVP'ed at the door or activate Multiple Check-Ins

  • There are two ways to check in attendees with a computer:

    • a) Search for the student with the search bar an click on the user's name

    • b) Plug in your USB Card Reader and start swiping student ID cards.

Virtual Attendance Tracking For Teams Meetings

If you are holding an online class, event, or webinar (with Microsoft Teams) and would like to track attendance, there are two ways for you to do so (and an easy way to check out, too).

1. Display the self check-in QR code on your event presentation

  • First, students/attendees need to download the mobile app prior to your event
    - We also advise you to send them an email to explain why they need to download the mobile app before your class/event. 

  • Go to your Upcoming Events listing

  • Select the event you are going to present

  • Click on the QR code to open it

  • Save it and paste it on the first slide of your presentation to allow students/attendees to scan it at the beginning of your virtual event

  • Attendees will use the scan function of their mobile app to scan the QR code on the screen, and just like that, they are checked in

2. Use a dynamic QR code for self check-in 

You can also let students/attendees self check-in by scanning the refreshable QR code.

  • Go to Track Attendance

  • Select Self Check-In QR code

    • You will have the option to use a refreshable QR code by selecting the Refresh QR Code every 10 seconds link

  • Students/attendees can then scan the QR code with their phones using the mobile app

This option aids in discouraging students from skipping the event/meeting. CampusGroups software refreshes the QR code every 10 seconds, preventing students from taking a photo and sending it to friends.

3. Use the self check-out feature

You may also want to track that students attended your event or class until the end. In this case:

  • Go to the Attendance Tracking Options settings

  • Set the Aactivate Self Check-Out option to Yes

The same way they opened and scanned the QR code to check in, students will be able to check out at the end of your event.

Additional Tip:
